The OneInMath System processes registered students once a day around 6:00 am Pacific time. However, there might be occasions when you do not want to wait, and want to assign newly registered students right away. One such situation arises when you have openings and you are accepting walk-in students.
Understanding the Assign Students command
This command determines the students to consider to process, process these students, and optionally send emails informing of the updated status.
Students considered by the command:
- All students who have registered but not yet been processed before (i.e. not yet marked as Assigned, Waitlisted, etc.).
- All students who are waitlisted.
- Any manual changes made in the Roster tab but the changes have not been processed yet.
Processing of Students:
- It will process any manual changes in the Roster tab, based on the changes made.
- It will assign tutors to the registered and waitlisted students in the order of registration priority and fill as many sports that are open with these students. For the rest of the students that cannot be accepted because all spots are filled, it will mark them as waitlisted.
Sending Email:
- For all students processed above, it will optionally send an email to each parent informing them of the new status.
Assigning a student manually involves two or four steps:
The simplest case is when there is just one student who is walking-in, and you want to accept that student. You will know that, when you run the command the first time, and it informs the change will be made for that one student only.

- Student registration.
- Assign Students.
- Reassign Tutor Manually (Optional)
- Send Email to Students whose status has changed.
Part A: Student Registration
- Ask the parent to register the student. If the parent has already registered them, skip to the next step).
- Verify that the student has actually registered by going to your designated Student Tracker, and going to Students Tab, and verifying the student registration by looking up the student’s name and mother’s email.
Part B. Assign Students
- Run the command “Assign Students”.
- Command will prompt you with what changes will be made.
- If you are satisfied with the changes the command will make
- Say YES to accept the changes
- Say YES to send an email to the affected parent(s).
- You are done, and can skip all other steps.
- If you are ok with the changes suggested, but want to manually assign a different tutor then command suggests:
- Note down all the students affected by this command, as you will need to send a status email in Part C.
- Say YES to accept the changes, but say NO to send email to all parents.
- Go to Part C.
- If you are not ok with the suggestions, then say NO and cancel the command. Please contact OneInMath central team for assistance.
- If you are satisfied with the changes the command will make
Part C. Reassign Tutor
- To change the assigned tutor (i.e. move the student to a different tutor), please follow the steps on How do I move Students to another tutor?.
- IMPORTANT: Note down the students that were sent email as part of reassigning tutor.
Part D. Send Email to Parents
- Determine who you need to send emails to. You need to send emails to students whose status was modified in Part B.2.2 minus the students the email got sent in Part C.
- For all such students who have not been sent an email, please select the students who need to be sent the status email, and run the command “Send status email to selected parents”. This will send the status email as appropriate.
- Note: If the students you need to email are not in adjacent rows, you will need to repeat this command multiple times for each set of students in adjacent rows.
